Invoices for freelance work

When you finish a project or a month of work, the invoice is how you ask to be paid. It names you and the client, carries a number and a date, lists the work with its price, and says when and how to pay. Writers, designers, developers, translators and consultants all need one, whether they charge by the hour or by the project.

The editor above opens with a sample for a small creative studio: a blog post, a pack of social media graphics and three hours of consulting, with a $500 deposit taken off the total. Type over it with your own details. You do not need an account.

How to make a freelance invoice

  1. Add your details and the client’s

    Your name or business goes under From, the client under To. Email and phone print only when you fill them in.

  2. Number and date the invoice

    Give every invoice its own number; the sample uses the year followed by 001. Then set the invoice date and the due date.

  3. Bill the work

    Add a line for each task, deliverable or block of hours, with a unit, a quantity and a price, up to 30 lines.

  4. Add expenses, tax and a deposit

    Costs you pass on go in Expenses, which can be taxable. Discount and tax each take a percentage or a fixed amount. Money paid up front goes in Deposit paid.

  5. Save it as a PDF

    Press Download PDF, check the pages in the preview, complete the short security check and save the file.

By the hour or by the project

The Unit field takes any word, so each line can follow the way you agreed to charge. For hourly work, write Hour, put the hours in Qty and your rate in Price. For a fixed fee, write Project and a quantity of 1. Day rates, word counts and rounds of revisions work the same way. The PDF prints the rate with its unit, for example $120.00 / Hour, next to the quantity and the line total.

The PDF

  • It looks like the preview and is rendered on our server over an encrypted HTTPS connection. The file is named invoice- plus your number, for example invoice-2026-001.pdf.
  • Paper: Letter or A4, and also Legal, A5, A3 and Tabloid / Ledger (11 × 17 in). A long invoice runs onto a second page unless you tick Fit everything on one page.
  • For a quote before the work starts, set Document type to Quote: the heading reads QUOTE and the file name starts with quote-.
  • A one-line "Created free with makeinvoicepdf.com" credit is on by default; one checkbox in the settings turns it off.

Blank freelance invoice template

To fill in an invoice by hand, in Word or in Excel, download the blank template. The PDF and Word files have spaces for you, the client, the invoice number, the dates and the project, and a table with Hours, Rate and Amount columns. In the Excel file, each of the ten rows multiplies hours by rate, and the subtotal, the tax at the rate you type (it starts at 0) and the amount due add themselves up. The PDF and Word pages are A4; for US Letter, use the generator above.

Questions

How do I create an invoice as a freelancer?

Put your name and the client’s at the top, give the invoice its own number and a date, list the work with its price, add any tax, and say when and how to pay. Download PDF turns the form above into a file you can email.

How do I show a deposit the client already paid?

Enter it in Deposit paid under Totals. The PDF lists it as Deposit Paid, and the last line becomes Balance Due.

Can I reuse my details for the next invoice?

Yes. The form keeps your last draft in this browser, so next time you change only the number, the dates and the lines. Reset clears the form and brings back the sample.
