What a quotation is for
A quotation, or quote, tells a potential customer what a job or an order will cost before they agree to it: the products or services, quantities, prices, any discount, tax and shipping, and how long those prices hold. The customer can accept it, ask for changes or turn it down. A quote does not ask for payment; the invoice comes after the work.
The editor above starts with a sample: placeholder names, quote number QUO- with the year and 001, and a valid-until date 30 days out. The item prices start at zero. You do not need an account.
How to make a quotation

Add your business and the client
Your details go under From, the client's under To. On the PDF the client appears under Prepared For.

Number and date the quote
Type a quote number and the date. Respond by is optional. Valid until prints as Quote Valid Until.

List the work or the goods
One line per product or service: a unit such as Hour or Item, the quantity and the price, up to 30 lines.

Add a discount, tax or shipping
Discount and tax each take a percentage or a fixed amount under your own label, such as Sales Tax, VAT or GST. Tax is worked out after the discount. Amounts left at zero do not print.

Download and send it
Press Download PDF, check the pages in the preview window, pass the short security check and save the file.

When the client accepts
At the end of the form, Turn this quote into an invoice opens the Free Invoice Generator with the quote's parties, line items, discount, tax, shipping, currency, logo, accent color, paper size and payment details filled in. The quote number goes into the invoice notes; you set the invoice number and due date there. The hand-over happens in this browser, and the quote stays saved here. If the invoice generator already holds a draft, you are asked before it is replaced.
The PDF file
- It is rendered on our server over an encrypted HTTPS connection, from the same layout as the preview.
- Paper sizes: Letter or A4, plus Legal, A5, A3 and Tabloid / Ledger (11 × 17 in). A long quote continues on the next page unless you tick Fit everything on one page.
- A short notice near the bottom says the document is a quotation, not an invoice or a request for payment, and that the prices hold until the date shown.
- File name: quote- plus your number, for example quote-QUO-2026-001.pdf.
- A one-line "Created free with makeinvoicepdf.com" credit is on by default; one checkbox in the settings turns it off.
- Your draft is saved in this browser until you reset it.
Blank quotation template in Word, Excel or PDF
To fill in a quote by hand or in Office, download the blank template. Each file has the heading QUOTE / ESTIMATE, lines for the quote number, date and price-valid-until date, blocks for you and the customer, an item table and a QUOTE TOTAL. The PDF and Word files add an Accepted by line for the customer's signature. The Excel file works out each line, the subtotal, the tax at the rate you type (it starts at 0) and the total. The PDF and Word pages are A4.

Questions
What is the difference between a quote and an invoice?
A quote comes first: it tells the client what the work will cost and does not ask for payment. An invoice comes after the sale and asks for payment by a due date. Keep a separate number series for each, for example QUO- for quotes and INV- for invoices.
Is there a free quotation template in Word?
Yes. The blank template above comes as a Word file, an Excel file that adds up the lines, and a PDF. For a finished PDF with your logo, use the generator at the top of this page.
How long should a quote stay valid?
You decide, and the date goes in Valid until. The sample uses 30 days. If your costs change often, a shorter period lets you re-price sooner.
