Invoices for photographers
A photographer invoice tells the client what the shoot costs, when and where it took place, what they may do with the photos and how to pay. The editor above opens with a wedding sample: full-day coverage, a second shooter, a drone video add-on and a 12x12 fine art album. Replace it with your own shoot; you do not need an account.
How to make a photography invoice

Add your studio and the client
Put your name or studio under From and the client under To. Email and phone print only when you fill them in.

Enter the event date and location
Both print in their own column next to Billed To. Leave one empty and it stays off the PDF.

Number and date the invoice
The sample number is PHOTO-, the year and 01. The PDF prints the invoice date; if the balance is due on a set day, write it in the terms.

List what you are billing
One line per package, service, product or add-on, with a unit (any word, such as Package or Print), a quantity and a price, up to 30 lines.

Add travel, tax and the deposit, then download
Fill in Travel / expenses, any discount or tax, and the retainer under Deposit paid. Press Download PDF and complete the short security check.
Usage license and terms
What you type in Terms and conditions prints under the heading Usage License & Terms. Say how the client may use the images, for how long and in which media, which rights you keep, and when you hand over the final files. The sample grants a one-year social media license and keeps the copyright with the photographer; replace it with what you agreed. Notes prints separately.

Labels in English, French or Dutch
PDF language changes the fixed words on the invoice: the heading becomes FACTURE in French or FACTUUR in Dutch, Billed To becomes Facturé à or Factuur aan, and dates are written in that language. Text you type prints as you type it, and the editor stays in English.
The PDF
- Your studio heads the page, the client and the event sit side by side, and the table has Service / Product Description, Unit, Qty, Rate and Amount columns.
- It is rendered on our server over an encrypted HTTPS connection and named invoice- plus your number, for example invoice-PHOTO-2026-01.pdf.
- Paper: Letter or A4, and also Legal, A5, A3 and Tabloid / Ledger (11 × 17 in), with a Fit everything on one page option.
- For a price before the booking, set Document type to Quote: the heading reads QUOTE and the file name starts with quote-.
- A one-line "Created free with makeinvoicepdf.com" credit is on by default; one checkbox in the settings turns it off.
Blank photography invoice templates
To fill in an invoice by hand or in Word, download a blank template, each as a PDF and a Word file on an A4 page. The general one has spaces for you, the client, the invoice number and dates, and the shoot date and location, then a Qty, Unit Price and Amount table with Subtotal, Tax and Amount Due. The wedding, event and photo studio versions add a line for the retainer or deposit received and end with Balance Due; the real estate version asks for the property address.

Questions
What goes on a photography invoice?
Your details and the client’s, an invoice number and date, the date and place of the shoot, each package or product with its price, any tax, the deposit and the balance, how to pay, and the usage terms. The form above has a field for each.
How do I bill a retainer or booking deposit?
Enter it under Deposit paid. The PDF lists it as Deposit Paid and the last line changes to Balance Due.
Can I add travel costs?
Yes. Enter them under Travel / expenses in Totals. They are added after the subtotal and print as Travel / Expenses. Tick Taxable if you charge tax on them.
