What a proforma invoice is for

A proforma invoice shows a buyer what a sale will cost before it happens: the goods or services, quantities, prices, tax, shipping and the terms. Buyers use it to approve a purchase, arrange payment or prepare an import. Sellers use it to ask for a deposit or for payment in advance. It is not the final bill: once the sale goes ahead, you send a regular invoice.

How to make a proforma invoice

  1. Enter the seller and the buyer

    Put your business under From and the buyer under To, with the names and addresses as they should appear on the proforma.

  2. Set the number and the dates

    Type your proforma number and the issue date, then choose how long the offer stands in Valid until. The sample sets it 30 days after the issue date.

  3. List the items

    Add one line per product or service with a unit, quantity and price. Line amounts and the total update as you type, for up to 30 lines.

  4. Add discount, tax and shipping

    Discount and tax each take a percentage or a fixed amount, under a label you choose, such as VAT or Sales Tax. Shipping or expenses can be marked as taxable.

  5. Download the PDF

    Press Download PDF, look over the pages in the preview, complete the short security check and save the file.

The currency list has the US dollar, euro, British pound, Japanese yen, Canadian dollar, Australian dollar, Swiss franc and Turkish lira. For anything else, choose Other and type the symbol, for example Rs. or kr.

The PDF file

  • The PDF uses the same layout and styles as the preview. It is rendered on our server over an encrypted HTTPS connection and downloads to your device.
  • Paper sizes: A4, A5, A3, Letter, Legal and Tabloid / Ledger (11 × 17 in). A long item list continues on the next page, or tick Fit everything on one page.
  • Near the end of the page, the PDF prints a short notice that the document is a proforma invoice, not a tax invoice, and that the formal invoice follows payment.
  • The file name follows the document type and your number, for example proforma-invoice-QUO-2026-001.pdf.
  • A one-line "Created free with makeinvoicepdf.com" credit is on by default; one checkbox in the settings turns it off.
  • Your draft is saved in this browser until you reset it, so you can close the tab and pick up where you left off.

Questions

Can I create my own pro forma invoice?

Yes. A proforma invoice is prepared by the seller, so you can make it yourself: add your logo and details in the form above, list the items with prices and terms, and download the PDF to send to the buyer.

What is the difference between a proforma invoice and a quote?

A quote is an offer the buyer can accept or decline. A proforma invoice is set out like the final invoice and is usually sent once the buyer wants to go ahead, for example to pay in advance or arrange an import. The Document type menu switches this editor between Proforma, Quote, Receipt and Order Form, and the heading and the notice on the PDF change with it.

What do I send after the buyer pays?

A regular invoice for the same sale, with its own invoice number. You can make it with the Free Invoice Generator.
